Create Role-Based Permissions in Sage Intacct

After implementing Sage Intacct, one of the first and most important steps organizations need to take is to establish which employees will have access to the system and what their permissions will be. In other words, you need to establish which functions each user will be able to perform within the system.

Sage Intacct allows you to decide whether you want to assign permissions based on user or role. The user-based system is only advisable if your organization is very small because you will have to manually enter different permissions for every employee—a time-consuming task. 

With the role-based process described here, you can create roles for various job functions and assign the permissions to perform certain tasks to specific roles. You can then assign the roles to users and/or to user groups. So, for instance, if Manager B is hired and should have the same permissions as an existing Manager A, you simply choose Manager A’s role and add it to Manager B’s user record. You’re done in seconds.  

How to Add a Role

  1. Go to Company. Locate and click the plus sign beside Roles.
  2. In the Name field, enter a name for the role. You can’t change this name after you save the role.
  3. Optionally, enter a description of the role.
  4. Click Save. The Roles Subscriptions page appears.
  5. Click Permissions next to an application to which you want to assign permissions. A Permissions window appears.
  6. Select the checkboxes for the functions you want users assigned to this role to be able to perform and then click Save.
  7. Repeat steps 5–6 for each desired application.
  8. When you have finished assigning permissions to the role, click Save.

You can now apply that role to different users as needed.

How to Edit a Role

  1. Go to Company. Locate and click Roles.
  2. Click Edit next to the desired role.
  3. Change the Description as desired.
  4. To change permissions, click View subscriptions. The Roles Subscriptions page appears.
  5. Click Permissions next to an application to which you want to assign permissions. A Permissions window appears.
  6. Select the checkboxes for the functions you want users assigned to this role to be able to perform, and then click Save.
  7. Repeat steps 5–6 as desired and then click Save.

How to View and Duplicate Roles

Viewing a role is simple:

  • Go to Company, then locate and click Roles. The Roles list appears.
  • Click View next to the desired role.

To duplicate a role:

  1. Go to CompanyRoles.
  2. Click Edit or View next to the desired role (it doesn’t matter which one you click).
  3. In the Roles Information page, click Duplicate. The page refreshes; the Name field is blank and the Description field contains any text from the role being duplicated.
  4. Enter a name and change the description as desired. You can’t change the name after you save the role.
  5. Click Save. The Roles Subscriptions page appears.
  6. Change any permissions as desired and click Save.
